Construction Egress Tracking Project Review:
A Story in Photo Identification Issuance Efficiency: MOBILE TRACKING - This eXpress badging customer is a contractor for a large municipality sports complex that is being built in the heart of the City. As is with most large construction sites, ID badges are issued for visual authentication. However, the need to further track on-site workers' time required an efficient solution to be implemented in a tough work environment and the ID badge became a great high-tech tool with the addition of a simple bar code.
Tracking Functionality:
As badges are issued the enrollee data is automatically uploaded into a very durable hand-held PDA terminal that is configured with a bar code scanner. Badges are quickly scanned denoting either an "in" or "out" transaction. Additional functionality allows the security gate attendant to hear loud tones and verbal commands for invalid card reads. In addition they have the ability to acknowledge override acceptance for approved egress exceptions that are then documented within the system. All terminal transactions are uploaded back into the ID issuance and tracking PC so reports can be ran using the transactional data displaying accumulated time summaries and other various reports.
Photo Identification Cards for Professional Sports Association:
A Story in Photo Identification Issuance Efficiency: problem was limited available human resources and turnaround time regarding issuing annual photo identification cards to 10,000 professional sports associates. Prior to engaging eXpress badging, all photo ID cards were being produced in-house by the customer and their turnaround during mass issuance required the effort of three separate departments and spanned several months before completion. Using eXpress badging's outsourced issuance services they are now processing thousands of photo ID cards in a matter of days.
Once a group of associates are internally validated and processed, their data and photos are imported into eXpress badging's production system, ID cards are batch printed with exact data and matching photos, and returned within 2 business days. The success of the fulfillment process has reduced in-house production for the customer to only replacements and new issues that are managed by a single employee. Future plans are being considered for eXpress badging to completely process the entire engagement from photo ID production to mail fulfillment direct to the individual associate.
Badging System Integration with HRIS Data:
Game Change: Here is a great badging story to share. eXpress badging was notified that a new hospital facility was coming online for one of our key customers and they required an additional enrollment badging station. The simple solution: add another badging station and be done with it. However, there was a team of champions that saw an opportunity for improvement in their organization’s work flow and security if changes were made. It made sense to evaluate new badging software that was more data friendly and easier to use. As a result, a major hospital-wide badging system upgrade was approved to include new badge printers pending trial testing of the software.
Back Ground: Their legacy badging software was installed over 15 years ago and has grown to manage two hospitals and several related affiliate locations: 10,000 plus active badges using forty plus badge templates. The short version of their legacy issuance process involved file folder handling and manual entry of all badge data. Their legacy data management and user rights were not as secure as they preferred and a migration to a centralized SQL backend was very important to include some creative code that extracts data from their HRIS.
Due Diligence: After an extensive beta test, eXpress badging was giving the green light to build the new badging system. We began with a review of their existing work flow. We then identified key areas where we could increase work flow efficiency. This included a review of all 40 plus badge templates, multiple remote databases and photo sharing functionality. The end result was a 4 badge template system that is used by all facilities. A key feature was the development of a centralized hospital managed SQL credential database that also securely stores all related data, their photos and is automatically populated from their HRIS data. This SQL database not only powers the badging backend, but is used as a central data source for key data and employee photo views in several other disparate hospital-wide solutions. This required the complete dedication of our customer’s high powered database administrator, along with eXpress badging’s lead technician.
New Work Flow: New hires are now entered into the badging system using only three secondary fields and their photo is captured. Every morning each badge manager selects a “Print Badge” profile that displays all employee badges that need to be printed. A simple batch print option queues up all records for printing, regardless of various design options. Using advanced data logic within the badge template, graphics and data elements are turned on and off based on stated values from HRIS data. Each record drops out of the “print badge” profile automatically once printed. The new badge templates were configured to look exactly like all legacy badge designs which required a keen attention to detail to proof and approve. All HRIS primary data fields are locked and cannot be edited. Only secondary fields like “preferred name” and a “badge override” option that is used to manage three exceptions can be edited.
Return On Investment: The hospital’s new high definition badge printers are configured with duplex lamination extending the life of their bar coded badges by years. As a result of this data integration upgrade, the HR department has seen improvements in customer service, work flow efficiency and data security.
